Job Expectations:

A Client Care Representative at Armory Dog and Cat Hospital will be successful at engaging our clients in a friendly and professional manner. Our clients will feel welcomed and as relaxed and calm as is possible while they are here. We aim to make our clients feel at home and at ease. This position requires a practical knowledge of the clinic’s procedures, policies, and services; client and patient treatment protocols; data transcribing; word processing, records and terminology used in the veterinary clinic. Specific guidelines have been established for interacting with clients, invoicing, checking-in & checking-out clients, answering and ending telephone calls, end of day closing procedures, and client record handling. **Schedule is Monday through Saturday option, 9am to 6pm – A 40-hour work week**  The responsibilities of our Client Care Representatives are listed below in full:

  • Greet clients and pets immediately upon entering.
  • Check-in all appointments and notify the appropriate party of the appointment arrival.
  • Ensure that the reception area & reception desk counters are pleasant & presentable.
  • Sweep and mop the reception area as needed.
  • Assist the other team members as needed in keeping exam rooms pleasant & presentable.
  • Check that contacts information on medical records is current.
  • Weigh pet when possible and if needed enter updates in record in medical file.
  • Schedule appointments and surgeries.
  • Answer all telephone calls in a friendly and professional manner according to clinic guidelines.
  • Confirm next day appointments and re-calls to check on prior day’s patients’ assessments.
  • Determine whether immunizations and tests are current for patients and recommend updates when necessary.
  • Follow established clinic policies and procedures when interacting with clients with complaints of acute symptoms.
  • Provide routine instructions to owners concerning medications.
  • Properly setup client accounts for those clients that qualify for special programs.
  • Prepare invoices, collect and process payments, and coupons according to clinic guidelines.
  • Know the fees for routine services so that you can inform our clients.
  • Explain all invoices in detail to clients as needed.
  • Review patient reminders and adjust as needed.
  • Maintain adequate supply of client education material at the front desk i.e., brochures, handouts etc.
  • Maintain the appointment calendar.
  • Must be able to demonstrate and answer questions about products, i.e., heartworm, flea & tick medications and other over the counter products.
  • Apply client referral discounts and send referral thank you letters.
  • Present all new clients a welcome packet when escorting them to an exam room.
  • Take patient photos and enter them into the patient computer file.
  • Other duties/tasks assigned by supervisory staff/doctors/practice owners.
  • Check work emails twice per day regardless of schedule to ensure each employee is up to date with the hospital’s day to day operations.

Qualifications:

  • Love of animals and a passion to help and heal, first and foremost
  • The desire to continually learn and grow
  • 1 year of administrative or customer service skills at minimum
  • Must be adept at using a multiple-line telephone system
  • Must be comfortable handling and processing cash and other forms of payment
  • Experience in a medical office setting preferred, but not required
  • Must be able to learn veterinary management software
  • Will have the ability to handle stressful situations in a professional manner
  • Must have own reliable transportation
